How stp.one replaced ten systems with one source of truth.

Together with NAVAX, the legal tech provider from Karlsruhe introduced Microsoft Dynamics 365 Business Central and Dynamics 365 Sales. The result is a single source of truth for every department and every acquired company, with automated recurring billing for its contracts.

The project in 30 seconds
  1. Challenge

Isolated solutions that had grown over time and did not talk to each other: accounting, invoicing and controlling each worked in their own system, and every acquired company brought its own CRM. The team maintained a single service order six times, in six systems.

  2. Solution

A two-core system of Business Central and Dynamics 365 Sales, connected to SharePoint. The NAVAX app Recurring Contracts, developed together with stp.one, bills the rental licenses automatically every month.

  3. Result

One data basis with the same terms for every department and every acquired company. More than four hours less effort per month, lower license costs and corrections in two clicks.

Challenges and solution

From isolated solutions to a single source of truth.

Three problem areas at a company that grows 10% organically every year and also acquires other companies, and what stp.one does differently today.

  1. 01System landscape
    Before

Up to 40 solutions that don't talk to each other

Every department and every acquired company had its own systems with its own terms. A single booking meant checking several programs, and the license costs of all those systems no longer paid off.

With Business Central and Dynamics 365 Sales

Two core systems instead of about ten

Business Central and Dynamics 365 Sales form the core, and the remaining systems connect via interfaces. New companies from M&A are brought into the same solution instead of adding yet another system.

  2. 02Data quality
    Before

Maintained six times, agreed six times

Columns had different names in every system and were filled differently. A correction required checking with several departments, and wrong bookings had to be reversed and posted again.

With Business Central and Dynamics 365 Sales

One data basis with the same terms

Everyone sees the same interface and the same information. One person makes corrections on their own, in two clicks. Contracts and documents are stored centrally in SharePoint, accessible from both ERP and CRM.

  3. 03Billing
    Before

From purchase to rental, without the right tool

With the switch from purchased to rental licenses, every customer became a recurring contract. Where a customer stood, from quote to order to invoice, was hard to follow across the systems.

With Business Central and Dynamics 365 Sales

    Recurring contracts bill themselves

With Recurring Contracts, contracts, postings and invoices are created automatically, and price adjustments and indexation are quick. The lead process runs in one flow, and every client can be traced all the way into the ERP.

How the project ran

Two systems, one project.

With NAVAX, stp.one could introduce ERP and CRM at the same time with one partner. Business continued without restriction throughout the implementation.

  1. 2022

    Shortlist of 20 ERP systems

In early 2022, the search began for a cloud solution that could carry the company's growth. In-house experience with Navision and Microsoft as a future-proof platform tipped the balance, and in August the decision for NAVAX was made.

  2. 1 Jan 2023

    Business Central live

The project started in September 2022 with Business Central and Recurring Contracts. After four months of implementation, the system went live at the turn of the year, without any downtime in day-to-day operations.

  3. Nov 2023

    Legacy CRM replaced

Under a fixed deadline and with a growing scope, all data was migrated completely and correctly by the cut-off date. Afterwards, there was a weekly one-hour session for questions about the new system.

  4. Since 2024

    M&A and automation

stp.one now integrates acquired companies on its own, the first of them in English. Since April 2024, automation has continued, with the entire quoting process next.

A highly customized CRM with 140 users, with Business Central and Recurring Contracts at its core.

“With Microsoft, we are set up for the future, and with NAVAX we have a long-term partner on our side. That is a very important point for us, above all because we want to keep growing. They invest in their solution and keep driving it forward. You can see that with Copilot, for example. It makes the systems even more interesting. We are already looking forward to the future: what possibilities AI will still bring. We always look at the releases, too. Choosing Microsoft was spot on. It is a long-term solution for us.”

Does your data have a single source of truth?

A single source of truth does not come from adding another system, but from fewer places where the same information is maintained. Four points to check where you stand.
