Challenges

More channels, shorter delivery times, tighter margins.

Wholesale is changing faster than many of the systems behind it. Here are four places where distributors most often lose time and margin, and what helps.

A man with a headset at his desk
  1. Orders arrive through every channel

Phone, email, webshop, EDI: each channel has its own order entry. Orders are retyped, and errors only surface at the customer.

How NAVAX solves it: Webshop and EDI write orders directly into Business Central. Phone orders are entered in the same system, so there is one order book for all channels.

  2. Nobody knows for sure what can be delivered

Shop stock is from yesterday, field sales calls the warehouse to ask, and promised dates do not hold.

How NAVAX solves it: Availability and delivery capability come from one source, for the shop, field sales and inside sales at the same time, including open purchase orders with suppliers.

  3. The warehouse searches instead of picking

Paper pick lists, bin locations in the heads of experienced colleagues. If someone is out, shipping stops.

How NAVAX solves it: Mobile data capture guides you to the bin by scanner, checks item and quantity while picking and posts immediately. FEFO or FIFO picking is included.

  4. Margins show up too late

Invoices are entered by hand, reports are built in Excel at month-end. Whether a customer or item is profitable is only clear afterwards.

How NAVAX solves it: Document Capture reads incoming invoices automatically, Power BI shows contribution margin by customer, item and channel, updated daily from the ERP.

Platform

From supplier to customer: one flow of goods, one system.

Microsoft Dynamics 365 Business Central is the data hub. NAVAX add-ons start where the standard ends for distributors: at every stage the goods pass through.

  1. Purchasing

Electronic purchase orders and advance shipping notices with suppliers, stock always in view.

  2. Sales

Webshop, field sales and inside sales work with the same customers, prices and stock.

  3. Warehouse

Goods receipt, put-away and picking by scanner, posted in real time.

  4. Shipping

Packed, labeled and handed over to the carrier, or shipped directly by the supplier.

  5. Controlling

Digital documents, contribution margins by customer, item and channel, updated daily.

Approach

The warehouse first, then the system.

NAVAX starts where your goods arrive, are stored and go out, not in the meeting room. That way the solution fits your processes, not the other way around.

  1. Map your processes

Together with purchasing, sales, warehouse and accounting, we walk through your processes: on site, with a real order.

  2. Define the target picture

What does standard Business Central cover, which add-ons and interfaces are added, what is deliberately left out? In writing, before anything is built.

  3. Implement in stages

Step by step instead of everything on one cut-over date: each stage goes live before the next one starts. Key users are trained along the way.

  4. Operate and expand

Support and further development from a single source, with a team that knows your product range, not just your ticket.

FAQ

Frequently asked questions about wholesale distribution software.

What distributors most often want to know before choosing an ERP or inventory management system.

Which ERP system is right for wholesale distribution?

For most midsize wholesalers, Microsoft Dynamics 365 Business Central is the right foundation: purchasing, sales, warehouse and finance in one system. Where the standard ends (for example with EDI, webshop integration or mobile picking), NAVAX add-ons take over.

How is our webshop connected to Business Central?

Items, customer-specific prices and stock go from Business Central to the shop; orders and customer data come back. For B2B shops, NAVAX works with Sana Commerce; existing shop systems are connected via interfaces.

What do we need for EDI integration?

A list of your trading partners and the messages they require, for example purchase order, advance shipping notice and invoice in EDIFACT format. Transmission runs through an EDI service provider, processing directly in Business Central. For transmission, NAVAX works with EDI Service Partners – Avenum.

Do we also need a warehouse management system?

Often not. Business Central manages locations, bins and picking; with mobile data capture, every movement is posted by scanner. Whether your warehouse needs a dedicated warehouse management system on top (for example with automated conveyor technology) is something we clarify in the initial meeting.

How does dropshipping work with Business Central?

The sales order automatically creates a purchase order with the supplier, using your customer's delivery address. Delivery, receipt and invoice stay linked to the order. The goods never touch your warehouse, and your margin stays visible.

We still use Microsoft Dynamics NAV. Do we have to start over?

No. Moving from Navision or Dynamics NAV to Business Central is an upgrade, not a fresh start: master data and processes are carried over, customizations are reviewed and, where possible, replaced by standard functionality or add-ons.

Your business on one platform.

One conversation is enough to clarify where to start. No obligation, and on site at your company if you like.
